Make the request easy to answer
- Name each missing item. Identify the pages that need final copy, the logo format and the photos you need. If the client already sent something, say what is still missing rather than asking for everything again.
- Give one place to send it. Use the project folder you already share, or offer email attachments. Check that the client can open the folder. Do not ask for account passwords in this email.
- Use a real deadline. Include the date, time and time zone, and explain which review or build step depends on it. Follow the timeline you agreed with the client.
- Agree on the effect of a delay. Acknowledge that files may arrive in stages. Confirm an updated schedule together; do not imply an automatic fee or consequence that was never agreed.
Ask for final, approved text and images the client has permission to use. If a photo or logo is unavailable, discuss an approved replacement instead of quietly using an image from another website.
A complete example for a freelance web designer
This fictional example requests the materials for an agreed review, with a fallback when one item is not ready.
Subject: Website content needed for Alder Studio
Hi Alex,
To prepare the Alder Studio website for your first review, I’m still waiting on:
- Final Home and About page copy, including the contact details you want published.
- Your logo as an SVG or high-resolution PNG, plus any brand guidelines.
- Three approved project photos, with a short caption for each.
Please add these to our shared “Alder Studio / Website content” folder by Thursday, 15 October, at 5 p.m. Pacific Time. If uploading is difficult, reply with the files attached.
I need the final copy to check the page layouts and the approved images to prepare the review version.
If the files arrive later, I’ll confirm a revised review date with you before changing the schedule.

A simple reply your client could send

If the deadline passes, refer to the outstanding items in a short follow-up email. Once the files arrive, use a project update to show what you completed, what remains and when the client should review.
